Job Summary
Responsible for assisting in the administration of a non-profit company in a remote setting.

General Accountabilities

  • Manages payroll processes, including new hire onboarding, earnings/deductions updates, and PTO review; serves as primary liaison with payroll company.
  • Manages Time and Effort Timesheets to track employee allocation across projects and ensure compliance with grant requirements.
  • Manages employee benefits programs including health, dental, vision, life, FSA, and retirement plans.
  • Coordinates meetings, including scheduling virtual sessions and assisting with logistics for in-person events such as hotel rooming lists, travel arrangements, and travel reimbursements.
  • Oversees company credit card program, including card issuance and cancellations, expense tracking, and preparation of detailed monthly card statements for director review before payment.
  • Procures office equipment and tracks small inventory of computers and printers.
  • Provides general administrative support, including routine email and written correspondence, office phone coverage, mail handling, bank deposits, offsite storage management, and assistance with special projects.

Job Qualifications

  • Minimum Education: A High School Diploma (associate or bachelor’s degree in business, accounting or HR preferred)
  • Minimum Experience: Five years of experience in office administration, with demonstrated knowledge of accounting principles and HR processes (payroll, benefits, compliance)
  • Demonstrated proficiency with Microsoft Office Suite applications, including Excel, Outlook, Word and PowerPoint
  • Must live in the San Antonio, TX area and have a personal vehicle to complete routine errands

Schedule
20-25 hours per week, generally between 9-5

Salary
$30-$35/hour, depending on qualifications
